Book excerpt: Archival Basics for Historic Record Collections is an introduction to the concepts, policies, infrastructure and tasks needed to collect, preserve and make archival collections available to researchers. The book is based on content presented in workshops by the Council of State Archivists and presented in an on-line course by the American Association of State and Local History since 2003. Arp focuses on the discreet tasks necessary to manage archival collections. This is a practical, how-to book on managing archival collections designed for those who have responsibility for such collections but lack formal archival training. The book begins by defining historic records, archival collections and the differences between archives, libraries and museums while identifying the steps needed to manage archival collections. It then looks at collecting archival items including creating a collections policy, documenting the acquisition of archival items and the steps needed to bring those items into an archives. It discusses arranging, preserving and describing archival collections so researchers can find the information they seek. Next, it goes over what is needed to store, protect, and make archival collections available to researchers. The last chapters contemplates the policies, skills and infrastructure needed to successfully manage digital records and looks at creating digital copies of analog records to promote their use. The book provides templates, questionnaires and examples to enable the reader to create customized archival policies and procedures that accommodate the particular circumstances they find themselves in. The book also contains exercises and quizzes designed to reinforce the retention and understanding of critical concepts. In addition to examples it has lists of additional resources so those who want more detailed information on particular topics can find it. This book is not the only reference book needed by those doing archival work, but it should be the first book they need.

Available in PDF, EPUB and Kindle. Book excerpt: Access and reference services are central to engaging with historical resources. As more people encounter archives for scholarly and avocational research, as part of creative pursuits, or to exercise their rights as citizens to access records, the possibilities for how collections are used will continue to evolve. Archivists need to be familiar with who their users are, understand why they're using archival collections, and engage in outreach so that they can provide excellent reference services. Reference and Access for Archives and Manuscripts outlines the various components of: providing physical, intellectual, and virtual access, acquiring reference knowledge and skills, navigating legal regulations and ethics, and designing use policies and effective outreach. Cheryl Oestreicher contextualizes how all of these components fit within other archival functions and offers strategies and detailed practices for creating comprehensive reference programs that archivists can adapt for any type of institution. Both new and experienced archivists will find Reference and Access for Archives and Manuscripts a solid foundation on which to add their own ideas for how to bring people into the archives as well as bring archives to the people. Readers are encouraged to examine these concepts and practices in conversation with others and to consider how archivists can continue to advance reference and access.

Available in PDF, EPUB and Kindle. Book excerpt: Starting an Archives is designed for institutional administrators, archivists, and records managers thinking about beginning a historical records program in their organization. The book covers the decision making process which should precede the establishment of an archival program, outlines the first steps necessary in the beginning of an archival program, and introduces basic archival functions to readers. These functions include: archival administration, collection development, appraisal, records management, arrangement, description, reference, outreach, and preservation and facilities planning. The book provides a theoretical rationale for the establishment of an archival program and discusses the managerial, financial, and administrative implications involved in beginning an archives. At the same time, however, it approaches the subject of starting an archives in a practical manner. There are clear descriptions of archival activities, samples of the important archival policy documents and forms, and a current bibliograohy which points to additional texts for further reference. Information on archival organizations is also included to help beginning archives locate and join local and national professional archival networks.

Available in PDF, EPUB and Kindle. Book excerpt: Websites and digital news stories disappear daily; researchers can’t access their own data for reuse; students don’t know how to make their work last for the next 10 years. Knowledge is built on previously gathered information, but what happens when that information is no longer accessible? And where does the librarian or archivist fit into this picture? This book describes the basic steps of data curation, in clear easy-to-follow language, and clarifies the many potential roles that a librarian or archivist can play to help make our information future viable for generations to come. Digital Curation Fundamentals is for anyone who wants to help save knowledge for future use, but knows little-to-nothing about digital curation or how it fits with their jobs. This book is also for administrators who need to stay on top of things but don’t yet have a good grasp on the purpose and scope of digital curation and how central it is to the future. Additionally, this book is a reference handbook for those who are involved in digital curation in some form but who need the context to know how their work fits into the big picture, and what comes next. This book takes a straight-forward, commonsense approach to a complex problem, and portrays the challenges and opportunities in an approachable conversational style which lowers the bar to include those with little to no technical expertise.

Available in PDF, EPUB and Kindle. Book excerpt: Archival Arrangement and Description: Analog to Digital teaches the core functions of arrangement and description. A historical summary grounds new archivists to assess proposed changes for digital files. After presenting the basics of arrangement and description (processing) for analog materials, the text segues to digital materials incorporating the OAIS preservation model into a detailed, sample workflow. Although accessioning and technical appraisal precede processing, they are discussed because they are performed differently for digital materials and create a different starting point for processing digital files. Description is external to the OAIS model but linked to it. Recent advances in description and its delivery are presented along with concerns for the ability of smaller archives to participate in envisioned future developments that are technology reliant. New specialties like digital curation and data curation show the continued relevance of archival expertise for the digital future. Rich with extras, the text includes and points to many readily web accessible additional resources.

Available in PDF, EPUB and Kindle. Book excerpt: Much of our nation’s documentary heritage resides in small historical societies, libraries, cultural organizations, houses of worship, and museums. The preservation of this heritage often depends on the dedicated efforts of people who, in their workaday world, practice some profession other than archivist. For twenty five years, Organizing Archival Records has equipped non-professional archivists to tackle the challenging task of arranging and describing archival materials. The latest edition preserves the practical, easy-to-follow, step-by-step approach of earlier editions while updating its content to reflect current archival practices: practical ways to arrange and describe digital records; simple tools you can use to manage and store your descriptions, whatever the level of your computer skills; how to share your descriptions with others; why provenance and original order are foundational to arrangement and description; how the principles codified in SAA’s Describing Archives: A Content Standard can guide your arrangement and description process; an expanded discussion of related topics, including appraisal, security, safe handling of records, storage conditions, and what to do with all the records that were in your archives before you read Organizing Archival Records.
